JOB SUMMARY:

Lakeridge Health (LH) is seeking a highly organized, dynamic, and detail-oriented Medical Staff Coordinator to play a central role in managing and supporting the human resource functions of our credentialed staff - physicians, dentists, midwives, and nurse practitioners. This is a key position within our Medical Affairs team, responsible for ensuring the recruitment, credentialing, and ongoing professional support for a robust credentialed staff of nearly 900 professionals, with an average of 120 new appointments annually.
This role is perfect for someone who thrives on building relationships, managing complex processes with accuracy and discretion, and delivering exceptional experiences for both candidates and leadership teams. Reporting to the Manager, Medical Affairs, and working closely with the Director of Medical Affairs, Academic Affairs, and LHEARN, you will be at the heart of LH's mission to attract and retain the best of the best in healthcare.

DUTIES AND RESPONSIBILITIES:

" Lead Physician & Credentialed Staff Recruitment
o Coordinate recruitment for all credentialed staff positions, including Department Chiefs and Medical Directors.
o Design and execute targeted advertising and recruitment strategies to attract top clinical talent.
o Maintain and enhance LH's recruitment presence, including website content, specialty conferences, and professional publications.
o Serve as the primary point of contact for candidates, guiding them seamlessly through the recruitment, interview, and onboarding process.
" Manage Credentialing & Appointment Processes
o Oversee the full credentialing, privileging, and reappointment cycle for all credentialed staff (~900 members).
o Ensure compliance with legislative and regulatory requirements (e.g., CPSO, RCPSC, PHA).
o Conduct due diligence on all candidates, including reviewing licensure, references, CMPA coverage, and other verifications.
o Coordinate documentation for the Medical Advisory Committee and support progression from Associate to Active staff.
" Support Leadership & Strategic Planning
o Facilitate the development of annual and five-year Medical Staff Human Resource Plans.
o Work closely with LH leaders to support credentialed staff monitoring, transitions, leaves, and role changes.
o Partner with Human Resources and Communications on physician-focused marketing materials and campaigns.
o Provide recommendations for process improvements to enhance efficiency and candidate experience.
" Deliver a Superior Candidate Experience
o Organize interviews, site visits, and candidate receptions, ensuring a professional and welcoming experience.
o Support successful candidates and their families through onboarding and community integration.
o Maintain ongoing communication and follow-up to ensure smooth transitions into clinical roles.

QUALIFICATIONS:

We are looking for a high-performing team player with:
" A Human Resources Certificate (or equivalent education/experience); CHRP/CHRL in progress or completed is an asset.
" Proven experience in healthcare recruitment, preferably in a large hospital or academic setting.
" Strong knowledge of the Canadian medical education system, licensing processes, and relevant legislation (PHA, CPSO, RCPSC, etc.).
" Exceptional organizational skills with the ability to manage multiple priorities and strict deadlines.
" Outstanding communication and interpersonal skills, with demonstrated tact, diplomacy, and the ability to work effectively at all leadership levels.
" Attention to detail and the ability to handle sensitive information with discretion and accuracy.
" Confidence in taking initiative, problem-solving independently, and receiving and applying feedback constructively.
" Strong analytical and decision-making capabilities.
" Strong proficiency in Microsoft Office Suite and adaptable, tech-savvy approach to learning new systems and applications.
" A proven record of collaboration, positivity, and reliability in fast-paced environments.
