Administrative Assistant IIDepartment: Health Information Management/Finance/Support Services and Business DevelopmentProgram: Health Information MgmtStatus: Regular Full TimeDays - 8 Hour Shifts (Subject to Change)Lakeridge Health OshawaWage Schedule: $28.120 - $38.240 per hourVacancy: 2400003938DUTIES AND RESPONSIBILITIES: Reporting to the Deputy CFO, Director Data Analytics & Health Information and Director Support Services & Business Development, you will play an integral role within the team by providing a full range of administrative activities for the respective programs. Responsibilities will include: managing the schedules of the three Directors and the Chief of Data Analytics; preparing, formatting and reviewing complex documents, presentations, reports, spreadsheets, and correspondence; managing databases; coordinating meetings, retreats and workshops, preparing agendas and meeting packages, taking and transcribing meeting minutes; handling a wide variety of inquiries via telephone and/or email; and ensuring deadlines are consistently met; maintain SharePoint intranet sites for supported programs; order supplies and requisition goods as required; maintenance and creation of new vendors as the coordinate; and submit timely expense reports. You will be proficient in public and interdepartmental communications and promote and maintain a positive customer service approach as the first point of contact for all levels of management and staff, and the general public. In support of the Deputy CFO, you will also work with staff and leaders to coordinate timely response to Ministry of Health and Ontario Health East requests and required reporting as relates to funding; and maintain SharePoint database of all correspondence and reporting obligations. You will be responsible to coordinate Broader Public Sector compliance reporting and maintain timely updates to Accountability section of the Hospital website. As the Mohawk Medbuy Data Steward you will create, update and maintain all vendor requests on behalf of Lakeridge Health. This position is primarily based at our Champlain (Whitby) site, with travel to support the program across multiple sites, as required. Hybrid arrangements are available.
