As a Subject Matter Expert (SME), the System Administrator will ensure the accurate and efficient operation of systems related to staff scheduling and workforce management across multiple hospital sites. This individual will work closely with HR, IT, and operational leaders to ensure seamless system integration and troubleshooting. The successful candidate will play a pivotal role in improving processes, ensuring data accuracy, and providing expert guidance to the organization.DUTIES AND RESPONSIBILITIES:" Act as the SME for the Tap and Pay program, providing expert guidance and support related to staff scheduling and time management." Manage the back end of the scheduling systems, including data integrity, system and access configuration, new account configuration and overseeing line position changes to ensure smooth operation across all departments." Develop, implement, and maintain system administration procedures and processes to ensure the timely and effective delivery of scheduling services across the organization." Ensure accurate and seamless data transfer between the Human Resources Information System and the Tap and Pay program, proactively addressing discrepancies and ensuring system accuracy. Collaborate with IT and HR regarding system back up and recovery plan. " Collaborate with department leaders to provide system navigation support, troubleshoot any errors or issues that may arise, and resolve problems efficiently to minimize disruptions." Identify opportunities to enhance the scheduling systems, work with internal IT and external vendors to implement upgrades, patches, or modifications, and ensure optimal system performance." In collaboration with HR and IT, ensures alignment on system requirements, data integration, and compliance with organizational policies and regulatory standards." Ensure the scheduling systems adhere to organizational policies, collective agreements, and any applicable regulatory or legal requirements. Conduct regular audits to identify and address system issues or inefficiencies." Oversee the coordination of scheduling activities for the organization, ensuring that the system supports the needs of multiple hospital sites and various departments, including clinical and non-clinical teamsQUALIFICATIONS:" Office or Medical Administration Certificate or equivalent." Degree or a Diploma in business or related preferred. " Minimum of 2-3 years of experience in staffing and scheduling, ideally within a healthcare or multi-site organization." Experience with scheduling systems and HRIS integrations (e.g., Tap and Pay, Kronos, or similar)." Strong understanding of data management, troubleshooting, and system optimization." Excellent problem-solving skills, with the ability to troubleshoot complex system issues and provide timely resolutions." Strong communication and collaboration skills, with the ability to work with various stakeholders across departments." Knowledge of applicable labor laws, collective agreements, and healthcare regulations is an asset." Proficiency in system reporting and analytics tools." Roles and responsibilities subject to change based on the needs of the organization, evolving business priorities or team structure." Required to work occasional weekends and evenings, based on the needs of the organization."
