Student Practicum AssociateDepartment: Academic AffairsProgram: Medical AffairsStatus: Regular Full Time8 Hour Shifts, Days Schedule (Subject to Change)Location: OshawaWage Schedule: $28.120 - $38.240 per hourFile Number: 2400003514JOB SUMMARY:The Student Practicum Associate works collaboratively with the appropriate individuals (Preceptors, Clinical Practice Leaders (CPL), clinical and support program Staff, etc.) to co-ordinate and support student practicum placements across Lakeridge Health and ensure the efficient and effective operation of the Academic Affairs portfolio. The Student Practicum Associate is responsible for the administration of a comprehensive range of student placement processes that ensure and support due diligence around integration, liability, accountability, risk management and evaluation. The Student Practicum Associate works cooperatively with LH Staff and academic agencies to coordinate, manage, develop, and improve student practicum opportunities, prioritizing on an ongoing basis to meet strict deadlines. The role is the operational liaison with internal & external contacts (Staff, CPLs, Interprofessional Practice, Academic Partners and Agencies, etc.) around student placements and related issues. DUTIES AND RESPONSIBILITIES:Facilitate Student Placements:" Collaborate with academic partners and other healthcare facilities (as required) to facilitate nursing, clinical, and non-clinical student placements." Respond to inquiries for clarification, elaboration, information, and updates on the student practicum process." Work with CPLs, PCMs, Education Leads and Preceptors to determine capacity to take students and the types and training levels that can be accommodated." Work with CPLs to update and maintain an inventory of capacities on units and in departments at LH." Assist academic Placement Coordinators with evaluating the availability and suitability of placement opportunities based on Preceptor/department capacity and the student's learning objectives." Alert the Student Practicum Coordinator or Manager of departmental changes which may impact capacity inventory.Communication and Liaison:" Establish and maintain effective communication with Preceptors, Clinical Practice Leaders, Patient Care Managers, Clinical Instructors, and other relevant LH team members." Serve as a liaison between academic institutions and placement destinations (e.g., unit, department, program) to facilitate smooth information flow." Redirect inquiries from Students and Instructors regarding access to LH support programs as appropriate (IT, Clinical Informatics, Security, etc.)." Communicate with relevant parties in the academic/hospital network to ensure understanding of LH policies, procedures and processes." Manage and maintain information about the Student Practicum program on the LH website and LH intranet OASIS.Administrative Support:" Review and forward nursing student placement requests entered in HSPnet by academic Placement Coordinators to CPLs. Forward clinical/non-clinical student placement requests received via email." Enter approved student placements into NirvSystem." Act as hospital administrator for HSPnet administrative updates (new destinations/services, new users, password resets, etc.)." Process payment for HSPnet subscription." Provide guidance to new HSPnet users and facilitate access and training." Provide project management and special event support to advance the academic mandate at LH.Documentation and Record Keeping:" Maintain accurate and up-to-date records of student placements, ensuring compliance with confidentiality and privacy requirements and regulations." Receive feedback from Students, academic institutions, Clinical Instructors, and healthcare providers and forward to Student Practicum Coordinator for review." Forward the affiliation agreement template and request a certificate of insurance from the school when existing documents have expired." Review and verify confirmed rotations in NirvSystem." Run schedules and reports for unit and department leaders as requested.Hospital Orientation and Training:" Assist with the development and delivery of orientation sessions for Students placed in clinical settings, outlining expectations, policies, and procedures." Collaborate with Clinical Instructors, Preceptors and CPLs to ensure they are adequately prepared to support students during their placements." Monitor and maintain the onboarding materials, requirements, policies, e-modules, training, etc. in NirvSystem that prepare Students for their placements." Assist with cross-site and vacation coverage as needed.Problem Resolution:" Address, and when necessary, escalate any issues or concerns raised by Students, Clinical Instructors, Preceptors, CPLs, or healthcare providers during the placement period." Ensure Students are aware of the process to report concerns and collaborate with AA leadership and other LH programs (as appropriate) to ensure issues are addressed. " Support problem-solving strategies to resolve conflicts and ensure a positive learning experience for Students.Quality Improvement:" Continuously assess and evaluate the effectiveness of student placement processes." Support quality improvement and best practice initiatives to enhance the overall experience for both students and clinical partners." Assist in the development and implementation of formal evaluation mechanisms and initiatives. " Identify opportunities to expand or improve existing practice and infrastructure that enable safe learning environments (e.g., WeCare, Policies and Procedures, N95 testing, etc.)." Assist in the development and implementation of formal evaluation mechanisms and initiatives. " Collaborate with Academic Affairs colleagues to redevelop and implement the Preceptor Appreciation Program.Regulatory Compliance:" Stay informed about relevant regulatory changes and accreditation standards affecting student placements." Ensure that placement processes align with legal and ethical guidelines.Data Analysis and Reporting:" Generate reports for educational institutions, clinical partners, and internal stakeholders as requested." Collaborate with Interprofessional Practice and the Human Resources departments to support recruitment strategies. " Submit Academic Affairs statistics to internal partners as requested.Professional Development:" Stay aware of best practices and advancements in nursing education, clinical, and non-clinical placements." Pursue professional development opportunities to enhance skills and knowledge in the field." Ensure skills are current to optimize use of computer applications (Excel, Outlook, Word, PowerPoint, etc.).QUALIFICATIONS:" Office Administration Diploma or equivalent combination of education and experience." Experience in an administrative support and/or coordinator role, ideally in a healthcare or academic setting." High degree of proficiency in all MS Office programs (Excel, PowerPoint and Word)." Excellent Communication and interpersonal skills to interact effectively with all levels of staff within the organization as well as external parties." Strong organization, prioritization and time management skills to effectively to meet deadlines." Ability to multitask and work in an environment with frequent interruptions to effectively manage numerous requests from multiple sources." Proven ability to take initiative and exercise good judgement" Must possess initiative, high integrity and be highly detailed and results oriented." Proven good attendance with ability to maintain the same standard."
