JOB SUMMARY Reporting to the Manager, Medical Affairs, the Medical Staff Coordinator plays the central role at Lakeridge Health ("LH") in supporting and coordinating programs and services relating to the human resource management of privileged staff (physicians, dentists, midwives, and nurses in the extended class) and physician professional practice for a large privileged staff (~900 members) with very active recruitment (on average ~100 positions filled annually). Under the direction of the Director of Medical Affairs, Academic Affairs, and LHEARN, and in collaboration with other LH leaders, the Medical Staff Coordinator supports the recruitment and selection of LH Department Chiefs, Medical Directors, and other privileged staff leadership roles. Under the direction of the Manager, Medical Affairs, the Medical Staff Coordinator works collaboratively with LH medical leadership and senior management to coordinate the recruitment and selection of privileged staff for LH, in addition to supporting the recruitment process of regional programs (e.g., Cancer Care Ontario) and/or organizations (e.g., Durham Ontario Health Team ("DOHT")) as required. The Medical Staff Coordinator develops and utilizes appropriate tools and approaches to address and support the full range of human resource functions for privileged staff. JOB DUTIES AND RESPONSIBILITIES* Serves as the initial contact for the organization regarding matters related to privileged staff privileges* Manages credentialing, privileging, and appointment for Lakeridge Health and Lakeridge Gardens Long-Term Care * Facilitates the development of the annual and five-year Privileged Staff Human Resource Plan* Updates related materials; works with Director, Human Resources and Communication Departments on recruiting-related promotional materials * Serves as an initial contact and works closely with all outside organizations involved in the privileged staff recruiting process, including PARO and other similar organizations, other hospitals, and privileged staff search consultants Coordinates, develops, actions and evaluates recruitment strategies to identify and attract proper candidates for privileged staff positions* Reviews, evaluates, tracks all credentialing documentation and ensures requirements are complete in order to proceed with application process* Maintains repository of, participates in, and actively seeks recruitment-related events (e.g., specialty conferences) and publications* Handles and triages employment inquiries for all physicians, dentists, extended class nurse practitioners, and midwives* Supports the coordination of site visits, receptions for candidates and family members * Ensures requisite documentation (references, immigration, labour market impact assessment ("LMIA"), etc.) are in order pursuant to the PHA* Liaises with provincial universities for academic licensure * Works in collaboration with the College of Physicians and Surgeons of Ontario ("CPSO") to assist physicians with restricted registration licensure (e.g., coordination of supervision and documentation)* Oversees the coordination of the recruitment and selection process for privileged staff, acting as the point of contact for candidates.* Assists candidate and/or family access to appropriate supports as requested * Manages the credentialing process for successful candidates - ensuring complete information and identifying potential issues for further vetting* Develops service agreements for each successful candidate and appropriate LH leadership* Coordinates the receipt of monitor reports and recommendations around progression from Associate to Active staff * Understand and perform due diligence and identify areas of concern to Chief of Staff and Department Chiefs, e.g., CMPA litigations flagged and verification that liability coverage is appropriate, CPSO (restricted licenses or licenses revoked) and applicants falsifying their applications, e.g., disclosure questions, independently take initiative following up with any discrepancies as noted* In collaboration with the Manager, Medical Affairs, manages the annual reappointment cycle (over 900 privileged staff) with significant milestones spanning approximately six months* Maintains credential files including the purging/destruction of documents as per the relevant policies and procedures * Provides support to the Credentials Committee of MAC (Medical Executive Committee ("MEC")) and ensures requisite documentation is complete and available to support review and decision making for recommendations around new privileges, privilege changes, reappointments, etc.* Provides communication to organization for privileged staff additions and/or changes* Assists with development and ongoing evaluation of new privileged staff orientation materials * Produces appropriate correspondence (letters of employment, banking statement, etc.) for all members of privileged staff as required * Coordinates temporary privileges for physicians in order to meet specific requirements or to meet an urgent need for coverage for a professional service as outlined in the by-laws* Oversees the Medical Affairs knowledge management procedures, maintains appropriate records* Makes recommendations for improvement aligned with environmental best practices and/or legislative requirements * Manages and supports the privileging processes for privileged staff throughout their tenure with LH, including leaves of absence, retirement, resignation, etc. * Make continuous Quality Improvements and efficiencies in order to enhance and streamline the credentialing process at Lakeridge Health* Other duties as assigned.QUALIFICATIONS * Human Resources Certificate, or equivalent combination of education and experience and commitment to work toward Certification* Knowledge of Canadian medical school system and college licensing requirements* Knowledge of relevant legislation and professional standards (e.g. PHA, Human Rights Act, CPSO, RCPSC, CNO, CMO, RCDSC, OMA)* Strong interpersonal skills and ability to work as a team player* Experience with CMaRS or physician database applications and applicant flow tracking* Knowledge of credentialing processes, by-laws, and regulations as per the PHA* Subject matter expert on project-related initiatives with respect to credentialing* Ability to maintain confidentiality of privileged staff personal data * Proven experience in health care including customer service, customer relationship management, and customer satisfaction* Privileged staff recruitment experience in a hospital (large, academic, and/or community hospital preferred)* Strong communication skills and extremely high level of tact and diplomacy* Ability to navigate difficult situations, various personalities, and ability to mediate complex situations* Ability to establish effective working relationships, both external and internal* Ability to handle competing priorities and maintain organization of workflow* Demonstrated ability to maintain a fast work pace and manage multiple priorities with strict deadlines while maintaining a positive attitude* Well-developed organizational and time management skills and the ability to work flexible hours on short notice* Ability to take initiative, work independently, and bring assignments to successful conclusion* Proven good attendance record with capability of maintaining this same standard * Ability to work with a variety of management levels* Must have satisfactory performance record;* Demonstrated commitment to our core values of Inclusion, Compassion, Innovation, Teamwork and Joy;* Demonstrated understanding of and commitment to Lakeridge Health's comprehensive safety programs and practices including staff, patient and environmental safety and participation in regular in-services in this area; and;* Proven good attendance record with capability of maintaining this same standard.CONDITIONS OF EMPLOYMENT:The terms and conditions of employment are in accordance with Lakeridge Health's policies and procedures.Lakeridge Health thanks all applicants, however, only those selected for an interview will be contacted.Accommodation will be provided in all parts of the recruitment and assessment process as required under Lakeridge Health's Employment Accommodation policy.
