Non-Union Posting #: UN EX-1700001848Position: Executive AssistantProgram: Finance & TransformationLocation: Lakeridge Health OshawaStatus: Full TimeSalary: $29.623 to $34.179 per hourDUTIES AND RESPONSIBILITIES: Reporting to Executive members of the Senior Management Team, the Executive Assistant plays a critical role to support the organizations' goal of excellence in the delivery of high quality, patient driven care. The Position will provide direct support to the EVP, Transformation and VP Finance.You will use your superior organizational and time management abilities, excellent communications skills and technological talents to coordinate and support the various strategic and functional needs of the Transformation and Finance Portfolios. This position requires the ability to work flexible hours and travel between sites as required.ACCOUNTABILITIES:" Support committee activity aligned with the Executive as the sponsor to organize meetings, prepare agendas, presentations and briefing notes, record meeting minutes, distribute relevant pre- and post-meeting materials to both internal and external stakeholders." Support preparations for upcoming meetings by conducting research, analyzing data and gathering relevant information and organizing it into clear and comprehensive documents which may include briefing notes, business cases and/or presentations." Conduct secondary research and link with external partners and experts to obtain information and tools to support project activities." Work with other members of the team to support the planning and execution of internal and external events. " Oversee the management of the Executives calendar and payroll to maximize the effective use of time." Manage the ordering of supplies, repair of minor equipment, and other administrative duties within the portfolio." Participate in meetings with the broader Department and support members of the team to achieve departmental priorities and objectives.QUALIFICATIONS:" College or university degree or Graduate of an Executive or Medical Office Administration Program with equivalent combination of education and related experience" Experience providing administrative support at a senior or executive level preferably in a healthcare environment" Advanced computer skills with expertise in the Microsoft Office Suite - Word, Excel, PowerPoint, Access and Outlook (and a willingness to look to technology to increase efficiency and effectiveness" Experience with SharePoint an asset" Strong and effective written and verbal communication and interpersonal skills" Proven detail and results oriented with strong organizational and time management skills and the ability to coordinate and manage multiple demands under restricted timeframes" Self-motivated and able to work with minimal supervision" Ability to maintain confidentiality in all issues" Proven ability to assess inquiries and problems and to exercise good judgement in taking appropriate action."
