DUTIES AND RESPONSIBILITIES:Reporting to Executive members of the Senior Management Team, the Executive Assistant plays an integral role supporting the organizations' goal for excellence in the delivery of high quality, patient driven care. You will use superior organizational, time and task management skills to coordinate and support the various functional needs of the portfolios. You will be responsible for: maintaining complex calendars with attention to commitments, detail and priorities; responding to queries and concerns in a tactful and confidential manner for those seeking assistance; organizing meetings, preparing agendas, recording meeting minutes and ensuring the distribution of relevant pre and post meeting materials; and answering and responding to phone/voicemail/walk in inquiries from staff, physician, the public and Governing bodies. Utilizing your superior administrative skills, you will prepare, proofread and format all internal and external correspondence, presentations and reports (weekly, monthly, quarterly draft reports); input payroll coding, assign functional centre payments, and file as required. In addition you will support any Committee activity that is aligned with the Vice-Presidents as the sponsors. This position requires the ability to work flexible hours and travel between sites as required.QUALIFICATIONS:" Graduate of an Executive or Medical Office Administration Program, or the equivalent combination of education and related experience;" Experience providing administrative support at a senior or executive level preferably in a healthcare environment;" Advanced computer skills with expertise in the Microsoft Office Suite - Word, Excel, PowerPoint, Access and Outlook (tested) and a willingness to look to technology to increase efficiency and effectiveness; " Experience with SharePoint;" Strong typing skills - minimum of 60 wpm (tested);" Strong and effective written and verbal communication and interpersonal skills;" Proven detail and results oriented with strong organizational and time management skills and the ability to coordinate and manage multiple demands under restricted timeframes;" Self-motivated and able to work with minimal supervision;" Ability to maintain confidentiality in all issues;" Proven ability to assess inquiries and problems and to exercise good judgement in taking appropriate action;" Demonstrated commitment to our core values of Compassion, Innovation, Courage and Trust; " Demonstrated understanding of and commitment to Lakeridge Health's comprehensive safety programs and practices including staff, patient and environmental safety and participation in regular in-service education in this area;" Proven good attendance record with capability of maintaining this same standard.CONDITIONS OF EMPLOYMENT:This position is open to all qualified staff throughout Lakeridge Health.The terms and conditions of employment are in accordance with Lakeridge Health's policies and procedures.Accommodation will be provided in all parts of the recruitment and assessment process as required under Lakeridge Health's Employment Accommodation policy.
