Non-UnionLAKERIDGE HEALTHJob Title: Document Management SpecialistDepartment: Professional Practice AdministrationProgram: Inter-Professional PracticeStatus: Full Time, 8 hour days (subject to change)Salary: $31.598 - $36.458 per hourLakeridge Health OshawaUNEX-2200003058Position Summary:The Document Management Specialist provides expertise, coordination and support in the development revision, approval and implementation of LH policies/procedures, guidelines, protocols, medical directives, pre-printed orders and protocols (hereafter referred to as 'controlled documents'). The Document Management Specialist works collaboratively with all programs/departments throughout Lakeridge Health to support excellence in the development and approval of controlled documents to ensure alignment with Lakeridge Health's Mission, Vision and Values. Duties & Responsibilities:Responsibilities of this position include supporting individuals, teams and committees in the development, review and archiving of controlled documents; administration and coordination of the document life-cycle; developing and maintaining the quality, integrity and functional capacity of the controlled document manual structure, process and electronic document management system; providing assistance to ensure legislative requirements are addressed in documents; and systematizing the archiving and retrieval of documents for legal/risk management purposes. Duties include, but are not limited to: * Quality and maintenance of documentation stored in the electronic Document Management System (DMS);* Support the process for the creation, revision, approval and archiving of LH documents including providing direction to document creators/leads and stakeholders.Qualifications:* Successful completion of a post-secondary education from in a healthcare related field or significant recent experience in a related healthcare environment;* Recent electronic document management experience in a healthcare setting preferred;* Recent experience in policy development, coordination and document management preferred;* Advanced computer literacy and knowledge of Microsoft Office Suite (MS Word, Excel, Powerpoint, Outlook);* Knowledge of an electronic document management system is required, preferably Sharepoint; * Advanced knowledge in the standards of documentation development and approval processes; * Working knowledge in the principles of adult education and teaching/facilitation/learning principles;* Proven knowledge of current trends in electronic document management and intranet site development and management;* Proven knowledge of Accreditation Canada standards, patient safety trends and initiatives;* Knowledge of healthcare legislation and risk management practices;* Proven ability to work independently and be self-directed with the ability to perform duties in a professional and courteous manner;* Proven time management and prioritization skills; * Demonstrated project management and problem solving skills;* Demonstrates excellent interpersonal, verbal, written/editing, and presentation communication skills;* Demonstrates ability to work effectively with all levels of staff;* Demonstrates ability to facilitate, coach, and educate others;* Demonstrates keen attention to detail and is results oriented; * Demonstrated commitment to our core values of Inclusion, Compassion, Innovation, Teamwork and Joy;* Demonstrated understanding of and commitment to Lakeridge Health's comprehensive safety programs and practices including staff, patient and environmental safety and participation in regular in-services in this area; and;* Proven good attendance record with capability of maintaining this same standardCONDITIONS OF EMPLOYMENT:The terms and conditions of employment are in accordance with Lakeridge Health's policies and procedures.Lakeridge Health thanks all applicants, however, only those selected for an interview will be contacted.Accommodation will be provided in all parts of the recruitment and assessment process as required under Lakeridge Health's Employment Accommodation policy.
